Job description
We are a growing multidisciplinary therapy clinic in need of an Office Manager. The Office Manager is responsible for overseeing administrative functions, office staff, and operational efficiency across multiple locations. This role ensures that each office runs smoothly, follows company policies, and maintains productivity.
Key Responsibilities
- General Office Responsibilities: Handle all front office duties, including but not limited to patient scheduling, insurance verification, collections, and managing intake paperwork.
- Leadership & Management: Supervise office leads and assistants at all locations. Provide guidance, training, and support.
- Provides feedback: Perform 1:1 and annual reviews with all office staff.
- Operational Oversight: Ensure offices are operating efficiently, meeting business goals, and following standardized procedures. Host office meetings with all office staff
- Process Improvement: Develop and implement office policies, procedures, and best practices to enhance workflow and efficiency.
- Budget & Resource Management: Oversee office budgets, manage supplies, and ensure cost-effective operations. Manage deposits. Ensure cash logs are accurate and completed.
- Compliance & Standards: Ensure all locations comply with company policies, legal regulations, and industry standards.
- Technology & Systems: Implement office management software, communication tools, and technology to streamline operations.
- Coordination with Departments: Work with Clinic Directors, HR, Operations, Marketing, Billing, and other departments to align office operations with overall company objectives.
- Problem-Solving: Address office-related challenges, staff concerns, and operational inefficiencies.
Skills & Qualifications
- Strong leadership and communication skills
- Experience in office management or operations across multiple locations
- Ability to analyze and improve business processes
- Knowledge of budgeting, administrative procedures, and compliance
- Proficiency in office software and management tools
- Familiarity with Medical Billing and EMR
- Flexible schedule (hours may vary from 8am - 7pm)
This role is ideal for someone who excels at multitasking, problem-solving, and maintaining consistency in business operations.
Compensation: $20.00 per hour
